The flyer goes to print Thursday: how retailers stop chasing late creative files

Tuesday before print

Michele coordinates the weekly flyer for a supermarket chain. Twenty-four pages, 60 brand modules, print on Thursday at 10:00. On Tuesday morning he opens his tracking spreadsheet: 14 modules have no file.

He doesn't know who's producing them. Some brands use agencies, some do it in house, one uses a freelancer whose name he's never heard. He emails each brand contact. Three are on holiday. One answers that "the agency sent it last week". It's not in his inbox, or in the shared folder.

On Wednesday night he's still missing four files. Two pages go out with house ads. The brands paid for the space, the retailer loses credibility, and next quarter's renegotiation starts on the wrong foot.

The business problem

The retailer sells the space but has no view of the production chain behind it. Files come by email, transfer links and shared drives, from people the retailer has never met. Every week the media team does the agencies' project management for free, and still finds out about problems too late.

Late or missing creative directly wastes sold inventory: the most expensive kind of waste in retail media.

How does RMM show retailers what's missing in time?

  • Every brief on your spaces, in one list. You see each brief on your touchpoints: who produces it, the deadline and the status.
  • "Missing, on air in under 7 days". A dashboard number that shows the spaces going live this week with no file delivered, early enough to act.
  • One delivery folder per brief. Agencies upload there and you download from there. No transfer links that expire.
  • Approve or ask for changes in place. Your comment goes straight to the producer, and the deadline stays visible to everyone.
  • The referent gets the files. Each touchpoint names who on your team receives the delivery, so nothing lands in the wrong inbox.

Know on Monday what will be missing on Thursday.

FAQ

Why are creative files always late for retail flyers?

Production happens at agencies the retailer can't see, and deadlines are passed on by email. Nobody has the whole picture until it's late.

Can retailers work directly on the brand's open files?

Yes. A brand can choose "retailer works on open files" and RMM shares the master files with your team.

Does RMM work for digital screens too?

Yes. Touchpoints can be print, in-store or digital, each with its own spec.
