Where are the open files? Why agencies lose hours before the design even starts

Forty-one attachments

Tommaso is a freelance designer who works for three FMCG brands. A new job comes in: adapt the spring key visual to six formats for a drugstore chain.

He searches his inbox. The master PDF is in a thread from January. The InDesign package is in a WeTransfer that expired in February. The font isn't in the package; the brand licensed a new weight. Two pack shots are in the brief email, two are in a reply from someone in packaging, and one is a low-resolution screenshot.

By midday he has written four emails and opened forty-one attachments. He hasn't moved a pixel. He can't invoice the morning, because the client sees it as "getting started".

The business problem

Asset hunting is invisible work. It doesn't show up in the quote, it eats the margin on small adaptation jobs, and it is the most common reason deadlines slip before production even starts. It also creates risk: the file you find may not be the latest one.

The brand thinks it sent everything. The agency knows it didn't. Neither can see the other side.

How does RMM put every asset in one place?

  • Open files live on the key visual. The brand uploads the master, the packaged open files and the fonts once, or links the Drive or Dropbox folder where they already sit.
  • Every brief inherits them. Each adaptation brief carries the same files, so nobody digs through old threads.
  • Pack shots by EAN. The products chosen for this brief come as high-resolution images named by EAN, ready to place.
  • One click to download. "Download everything" gets the master, open files, spec documents, references and pack shots in one go.

Start designing at 9:05, not at noon.

FAQ

What are open files in design?

The editable source files (for example InDesign, Illustrator or Photoshop) with linked images and fonts, as opposed to a flattened PDF or JPG.

Why do fonts go missing in packaged files?

Licences, new font weights and different machines. Keeping fonts with the master on the key visual removes the guesswork.

Can I still use our own Drive or Dropbox?

Yes. RMM can link to the folder where the files already live.
